As part of our Shared Services group, comprised of Finance, Marketing, Communications, Human Resources, Commercial, Legal and Facilities, we support the business achieve their goals through a range of strong technical capabilities. We ensure delivery of services through the skills of our people, methodologies, and systems.
Our business is experiencing rapid growth. Based in Perth CBD, this newly created full-time position will suit an EA who is a self-starter, enjoys accountability and can work both autonomously and within a team environment. The role has a primary focus in providing executive support to the Office Manager and Leadership Team, with additional responsibility for managing all aspects of day to day office administration.
To be successful in this role, the ideal candidate will offer:
Five or more years prior EA experience
Previous experience with process improvement within a growing business
Exceptional organisational skills in managing complex schedules, diary management, coordination and booking travel
Advanced knowledge of Microsoft Office Package
Previous experience working in an engineering or construction firm will be advantageous.
Key responsibilities include:
Providing effective, efficient and professional administrative support to the Office Manager and Leadership Team, as required
Booking travel for staff as required
Effectively manage day to day office functions including dealing with supplies; maintenance; building management; safety; utilities
Actively assist in creating a positive organisational culture through being proactive, professional and approachable
Act as a central-point of contact for Management and Staff and develop strong relationships with all levels within the organisation
Assist with coordination of Senior Executive and Board Member visits to Perth from our Headquarters in Canada
Reconcile expense claims, credit card statements, purchase orders and accounts payable for the Office Manager
Plan and coordinate Client and Staff functions in a highly organised fashion, within assigned timeframes and budgets
Compiling monthly reports through the engagement with others and preparing these for Board quality submissions
